This guide explains how to centralize, organize, and make company files easily accessible using THRON. It is recommended to import files into a single archive, enrich them with metadata through Artificial Intelligence, create a folder structure for the marketing team, and configure access permissions. You can link assets to products for automatic updates. Technical support is available via email.
The new home for your content
The goal is simple: stop searching for files and start using them. We transform your archive into an intelligent space where every piece of information is always in the right place and ready to use.
1. Import your current files
The first step is to centralize everything that today is fragmented across servers, PCs, or old systems. Don’t worry about order at this stage: the goal is to have a single point of access without concerns.
What to do: Create a folder called Historical Archive and, inside it, create a subfolder for each source. For example:

2. Make files easy to find and catalog
For files to be useful, they need to speak. Before reorganizing them, configure the information that will allow you to filter and use them effectively.
Each file needs a few key pieces of information to be found in a second. Decide which are fundamental for you. For example:
- A clear description.
- The expiration date (for copyrights).
- Where it will be used, in which language, and what year it is from.

3. Create the new clean workspace
Now start designing the "new" structure where the team will work every day. This must be lean and ready to use.
Under a main folder Marketing Team, create these areas:
Brand Identity: For logos, fonts, and official manuals.
Marketing Operations: For active campaigns and seasonal materials.
Channels: For files already ready and approved for Social, Website, or Print.
Working Process: A transit folder for new uploads to be reviewed.

4. Move content into the new space
Start populating the new workspace by bringing in only what is really needed.
Use filters: Go to the Historical Archive folder and filter files using the semantic attributes created so far.
Drag files: Select the results and use Drag & Drop to the correct folder in the new space (e.g., Marketing).
Decide the method: You can move entire folder trees and, for each operation, decide whether to preserve the original structure or move only the files by flattening the path.
Pro tip: If a file in the old archive is no longer needed, move it to the trash. The less clutter you have, the faster the team will be.

5. Configure team access
Protect the quality of the new space by deciding which teams can access which folder trees and with what rights.
Example of permission assignments:
Managers Group (Admin/Team Leader): They have access to both the Historical Archive and the Marketing Root. They manage the migration and rules.
Operations Team Group: Has access only to the Marketing Root. For them, the old archive does not exist: they only find ready-to-use files.
Collaborators Group: They have access only to the Incoming folder. They can upload new materials without seeing the rest of the company archive.

6. Connect assets to your products (Optional)
If you manage products, you can directly link images or videos to their product sheets. This way, if a product info changes, the file updates automatically. To do this, you need to define how THRON represents and manages your products.
