Products: how to export them to an Excel file
Export the products from the THRON catalog to an Excel file (.xlsx) for consultation, analysis or bulk editing of the data. You can export the entire catalog, the filtered products or a specific selection, choosing which attributes and which localizations to include in the file.
If you often export the same attributes, use export profiles: you save the configuration once and recall it with one click, without rebuilding it from scratch at every export.
Prerequisites
To export products, you need read access to the product catalog, assigned by your administrator. In the file you only find the attributes you have the right to view.
Product selection: entire catalog or targeted selection
Before exporting, decide which products to include:
All products: if you select no rows, you export all products. If you applied a filter, you export all the filtered products.
Specific selection: select the checkboxes next to the products you are interested in. The checkbox in the table header selects all the products on the current page; to select them all, use the button in the table footer.
Apply filters and search before selecting: as soon as you select at least one product, filters and search are disabled. The selection is not kept across pages: if you move to the next page, the products selected on the previous one are deselected.
Quick export: suggested and saved profiles
From the Products list, click Export. In the Export via profiles menu you have three options:
Situation |
What to use |
|---|---|
You often export the same set of attributes |
Saved profiles |
You want to export based on the products you are viewing or repeat a previous export |
Suggested profiles |
No profile covers your case |
Manual export |
The Saved profiles and Suggested profiles tabs appear when there is at least one saved profile that you can see. Otherwise, the menu only shows the suggested profiles.
Suggested profiles
THRON dynamically proposes suggested profiles, calculated based on the current selection of products, for example the family you filtered, and on your previous exports. The list therefore changes depending on how you are using the list at that moment.
Click the information icon next to a profile to see the Profile configuration: export type, localizations and attributes included, in the order in which they will appear in the file. Click the profile to export right away, skipping the configuration flow.
Saved profiles
In the Saved profiles tab you find the profiles created in your organization. Click a profile to export with the saved configuration.
You can see and use exclusively the profiles made up of attributes that you have the right to view. The Visible profiles counter at the bottom of the list shows how many profiles you see out of the total configured: if the first number is lower, some profiles contain attributes you do not have access to.
If you are missing a profile that a colleague uses, ask the person who manages users and rights in your organization to check your rights on the attributes.
Export procedure: configuration and download
Step 1: Start the manual export
Click Products in the sidebar.
Select the products you are interested in or leave the list unselected.
Click Export at the top right, then Manual export.
Step 2: Configure the export
In the Export configuration screen, on the left you find the Summary of selected products: the applied filters or the list of selected codes, which you can copy. On the right, in File set-up, you configure the file:
Choose the mode: Export by codes or Export by labels.
In Which locales do you want to export? leave All locales or select Choose locale and indicate the ones you need.
In Which attributes do you want to export? leave All attributes or select Choose attributes: the button at the top right becomes Choose attributes and takes you to the attribute selection.
If you export by labels, also indicate How to show references? (By product code or By product label) and How to show assets? (Show by asset codes, By filename or By URL). With the URL, select the pKey to use among the shares you have open, including those of the applications you own.
By default you export all attributes and all localizations by codes: if you change nothing, click Export and you export right away.
Mode |
How the file looks |
|---|---|
Export by codes |
Codes of attributes and options. Localizations are columns of the same product row, with the convention |
Export by labels |
Labels of attributes and options, with a dedicated sheet for each localization. If a label is not translated, the code appears. |
A file exported by labels is meant for consultation and cannot be re-imported. If you need to edit the data and re-import it, export by codes.
Step 3: Choose the attributes and their order
In the Choose which attributes to export screen:
In Available attributes, use Search and the Families, Groups and Type filters to find the attributes, then tick them. Hold Shift to select more than one at a time, or use the checkbox in the header to select them all. The identifier attribute is already selected: you can remove it if you do not need it.
In Sort selected attributes, drag the attributes into the order in which you want them in the file columns. Use Remove all to start over.
Click Export, or first save the configuration as a profile (Step 4).
Attributes are of two types: system attributes, marked SYS (Categories, Family, Hierarchy level, Master, Variation, Variation group), and the other attributes of the data model, marked ATT. The default order is the order of selection: if you select B first and then A, on the right you find B, A. If you select all attributes, the order is alphabetical, with system attributes at the top.
Step 4: Save the configuration as a profile
To reuse the configuration, click Save profile. In the Export profile window you find the summary of what the profile will export, then choose:
Create new: enter the Profile name, up to 100 characters.
Update existing: choose the profile to overwrite.
Click Save to save the profile, or Save and export to save it and start the export right away.
The profile saves the entire configuration, not just the attributes:
the export mode, by codes or by labels
the localizations to include
the selected attributes and their order
the pKey used to represent Assets, where applicable
You cannot save a profile that exports All attributes: export profiles require a specific selection of attributes. The set of "all" depends on the rights of the person running the export, so in a shared profile it would give different results from user to user.
Start from a saved profile
To edit or duplicate a profile, use it as a starting point in the manual export:
In Export configuration, click Use a profile and choose the profile among the Available profiles. A message summarizes the configuration of the selected profile.
Click View attributes, then reorder, remove or add attributes.
Click Save profile and choose Update existing to overwrite the starting profile, or Create new if you want to keep both versions.
To go back to a free configuration, choose Cancel profile selection. The manual exports you run also feed the suggested profiles.
Background operations: how to monitor and receive the file
Processing runs in the background without blocking your navigation in the platform:
When the export starts, the message Export started successfully! appears.
During processing, a progress icon appears in the top bar, next to the bell.
Click the bell to see the status of the activities: when processing is complete you find the entry Products export completed.
You receive the XLSX file by e-mail.
Standard export preset
Recommended configuration:
Create a saved profile for each recurring use, for example a sales channel or a B2B catalog, and agree on the profiles with your team: they are shared and their number is limited.
Select only the attributes you need to reduce the file size and speed up processing.
If the file needs to be re-imported, export by codes and keep the column headers unchanged.
