This guide explains how to centralize, organize, and make company files easily accessible using THRON. It is recommended to import files into a single archive, enrich them with information via Artificial Intelligence, create a folder structure for the marketing team, and configure access permissions. Assets can be linked to products for automatic updates. Technical support is available via email.
The new home for your content
The goal is simple: stop searching for files and start using them. We transform your archive into a smart space where every piece of information is always in the right place and ready to use.
1. Import your current files
The first step is to centralize everything that is currently fragmented across servers, PCs, or old systems. Don't worry about ordering at this stage: the goal is to have a single access point without worries.
What to do: Create a folder named, for example, Archive or Hub and, inside it, create a subfolder for each source. For example:
Drag the files and folders into these spaces, keeping the original structure. If you have very large volumes, use THRON Drive to speed up the upload or the Asset Import automation.

For files to be useful, they must speak. Before reorganizing them, configure the information that will allow them to be filtered and used effectively. Every asset needs a few key pieces of information to be found in a second. Think about what attributes are fundamental for you and start modeling the information the right way.

You can also enrich assets with additional attributes, tailored to your team's needs. For example: visual attributes like dominant color or format, useful for quick filtering; managerial attributes like rights expiration date or production year, useful for keeping the catalog updated over time. Configuring them now means paving the way for truly efficient use in the future.

Now start designing the "new" structure where the team will work every day. This must be lean and ready to use.
Under a main folder Marketing Team, create these areas:
Brand Identity: For logos, fonts, and official manuals.
Marketing Operations: For active campaigns and seasonal materials.
Channels: For files already prepared and approved for Social, Website, or Print.
Working Process: A transit folder for new uploads to be reviewed.
The final tree structure could look like this:

Start populating the new workspace by bringing in only what is truly needed.
Use filters: Go to the Historical Archive folder and filter files using the semantic attributes created so far.
Drag files: Select the results and use Drag & Drop to the correct folder in the new space (E.g., Marketing).
Decide the mode: You can move entire trees and, for each operation, decide whether to keep the original structure or just move the files flattening the path.
Pro tip: If a file in the old archive is no longer needed, move it to the trash. The less noise you have, the faster the team will be.

Protect the quality of the new space by deciding which teams can access trees and with what rights.
Permission assignment example:
Managers Group (Admin/Team Leader): They have access to both the Historical Archive and the Marketing Root. They manage the move and the rules.
Operational Team Group: They have access only to the Marketing Root. For them, the old archive does not exist: they only find files ready to use.
Collaborators Group: They have access only to the Incoming folder. They can upload new materials without seeing the rest of the company archive.

If you manage products, you can directly connect images, videos, and documents to their cards, even fully automatically. If a product info changes, the asset updates itself. To do this, you must define how THRON represents and manages your products by configuring the Data Model.
